LMS Staff Guide
How to enrol students, run Google Meet classes, share join links, and see attendance, assignments and grades in the BvLogic Academy ERP.
Sign in at codexla.com. (Staff who sign in at bvlogic.academy are sent on to codexla.com, where they sign in once more — the staff pages are not on the student site.) Everything below is in the left-hand menu under Academics, or in the mobile app (install it from the app page). The full system manual is the User Manual.

1. Add a student to a class
Students are not added to a Google Meet directly. A student sees a batch's classes, join links, materials and assignments once they are enrolled in that batch. Enrolment is the only step.
A new student
- Go to Students → Register.
- Fill in the student's details. In the Course Enrollment card choose the Course and then the Batch, with the fee and any discount.
- Save. The student is enrolled and their portal login is created.
A student who is already registered
- Go to Batches and open the batch.
- In the Enroll Student card click Enroll a student.
- Pick the student from the list, set the Enrollment Date, Course Fee and any discount, and click Enroll Student.
2. Schedule a Google Meet class
- Open LMS / Online Classes.
- In Schedule a Session choose the Batch, write a Title (for example "Week 3 — CSS Layouts"), set Platform to Google Meet, and set the Date & Time and Duration.
- Leave Manual Meeting Link empty: the system creates the Google Meet link itself. Paste a link there only if you want to use one you already have.
- Click Schedule Session.
You land on the class page, which shows the Join Google Meet button and a message such as "Session scheduled. 18 enrolled student(s) notified."
abc-defg-hij) and the line "Google Meet has no passcode". Nothing is missing: only Zoom classes show a passcode, beside their Meeting ID.3. How students get the link and join
You do not need to send the link anywhere. When a class is scheduled — even if you save it after it has started, as long as it is not over — and again shortly before it opens (or while it is open), every enrolled student who can sign in receives:
- an in-app notice, always: under the bell in the app and in the portal, pointing to their Join button. This is the one that always arrives;
- a phone notification, only on a phone where they have opened the app and allowed its notifications;
- a WhatsApp message, only if an administrator has set up the academy's WhatsApp sending. Until then nothing goes by WhatsApp automatically: post it yourself with Copy message (below).
An online class saved without a link is announced when its link is added. Then the student:
- sees a green Join button on their portal dashboard (Upcoming Sessions) and on their course page, from 30 minutes before the start; before that the button says when it opens;
- sees Join Google Meet in the mobile app under Class Schedule.
The batch's teacher is notified too when somebody else schedules the class or adds its link, and finds every class of their batches — including ones the office scheduled — on the LMS page, on the batch page, and in the mobile app under Upcoming Classes, where Start opens the meeting.
To post the class in a WhatsApp group, use Message for the class WhatsApp group on the class page: Copy message, or Open in WhatsApp. The message sends students to their Join button on bvlogic.academy — so joining still marks them present — and tells them where to sign in. The meeting link itself is printed beside the Join button with a Copy button if you need it; students who use that link instead of the Join button are not marked present automatically.
3a. The student's schedule and calendar
Students have a My Schedule page (in the portal menu as Schedule, and from Class Schedule in the app) showing their classes by Week or Month. From it they can:
- Add all to my calendar — one calendar file with every class of their batches, for the phone's own calendar;
- Add to Google, or download a Calendar file, for one class.
A calendar entry never carries the meeting link: it sends the student back to their Join button, so joining still marks them present. A downloaded calendar is a copy — if a class is moved or cancelled, they download it again (the schedule page itself is always current, and shows a cancelled class struck through).
4. During and after class
On the class page, under Session Controls:
- Status: set Live while teaching and Completed afterwards. Completed classes lose their Join button.
- Recording Link: paste the recording and Save. Students then see Watch Recording.
- To call a class off, set Cancelled and Save. The Google Meet event the system created for it is removed (unless you had replaced its link by hand — then nothing is deleted), students are notified that it is cancelled, and they no longer see the class as upcoming.
The title, date and time cannot be changed after saving. To move a class, cancel it and schedule a new one; students are notified of the new one.
5. Materials
On the class page, Add Material: give a Title, choose the Type, and either paste a URL or upload a file (PDF, Word, PowerPoint, images or MP4, up to 20 MB). Students find it under Materials on their course page with Download or Open.
6. Assignments and grading
Setting one
- Quick, from a class: on the class page, fill Title, Due Date and Total Marks, then Create Assignment. It is visible to students immediately.
- Full, with a brief (managers): Assignments → Set an assignment. Add the brief, due date and marks; tick Publish to students now or save it as a draft and publish later.
How students submit
On their course page, under Assignments, students paste an answer or link and/or upload a file, then click Submit Assignment. Work handed in after the due date is marked late. Until you grade it, a student can resubmit; every earlier version is kept, and you see Resubmitted · N earlier versions under their name. Once graded, it is locked.
Grading
- On the class page, Batch Assignments lists each submission: enter the marks and feedback and click Grade.
- Managers can also grade from Assignments → the assignment, which lists every enrolled student, including those who did not submit.
Students see Graded: marks/total and your feedback on their course page.
7. Exams and the gradebook
- Open Exams & Gradebook → Schedule Exam.
- Choose the Batch, Category (Quiz, Test or Exam) and Type: Written (you enter marks) or Online MCQ (marked automatically). Set the date, total and passing marks, then Create Exam.
- For an online MCQ, add questions under Question Bank. For a written exam, enter results in Marks Entry (tick Absent where needed) and Save Marks.
The exam page shows every student's score, percentage, grade and pass or fail. Students see their result on their course page.
8. Attendance
Marking it
- On a computer: Attendance → Mark Today on the batch. Use All Present, then change anyone absent, late or on leave, and Save Attendance. You can choose an earlier date.
- In the app: Take Attendance → your class, then Tick the register, or Show QR for students to scan, or Scan students to scan each student's own QR code. QR marking only works on campus.
- Online classes: students who join through the Join button are marked present automatically.
Seeing it
- One batch, by month: Attendance → Report on the batch. Pick the month to see each student's present, absent, late and leave days and their percentage. Export to Excel is on the same page.
- Whole academy: Report Center → Attendance, with periods such as Today, This Week, This Month or a custom range, and an Excel export.
- One student: from that report, open the student for a day-by-day log.
- Who has stopped coming: Gone Quiet in the menu. The system also flags three absences in a row.
9. The LMS dashboard and reports
LMS / Online Classes shows:
- Learners who cannot sign in: how many of the students on your batches (managers: on every running batch) have no way to sign in yet, and on which batches. Everything in this guide reaches a student only after they can sign in. Their way in is a QR sign-in card: staff with user management print a batch's cards from Batches (the QR icon).
- My Active Batches: your batches, with View Batch and Mark Attendance.
- Recent & Upcoming Sessions: the latest 30 classes with their platform and status. The eye icon opens a class you can manage.
- All Active Batches: every running batch, its teacher and how many students it has.
In Report Center:
- Assignment Completion: who has submitted and been graded.
- Quiz / Test Performance: exam results by batch.
- Course Progress: how far each batch has got.
- LMS Activity: students with no submissions or exam attempts recently, and how many classes, materials and announcements each teacher has posted.
10. Good to know
- Students do not receive a Google Calendar invitation. The link reaches them through the portal and the app, which is also what records their attendance; they can put their classes in their own calendar from My Schedule.
- Google Meet events are created on the academy's Google account. If a class page warns that Google Meet is not connected, tell an administrator.
- WhatsApp messages go out only when an administrator has set up the academy's WhatsApp sending. Until then students are told inside the portal and app (and by phone notification where they allowed it), and WhatsApp is the Copy message you post yourself.
