Why academies replace their old setup

Fees that do not reconcile

Reporting tells you what happened. These controls make sure it happened correctly, and prove it later.

Reconciliation Center

A scheduled engine re-checks the fee ledger against itself every morning and raises findings with evidence attached. The arithmetic is deterministic, never estimated. An assistant explains the findings in plain language and answers questions about the data, but it never computes the money.

  • Ledger identities. Paid totals must equal the sum of installments, balances must equal fee minus paid, and every status label must match the money behind it.
  • Revenue completeness. Every payment, including registration fees, must appear in the income records the P&L reads.
  • Duplicate detection. Same-day, same-amount payments are surfaced with their methods so a genuine second payment is not written off as an error.
  • Student lookup. Search by name, phone, registration number, CNIC or email and get the complete financial position on one screen.

Audit trail on 25 record types

Creates, updates and deletes are recorded with the old and new values, the user, the IP and the page. A weekly digest summarises who changed what, with sensitive changes to salary, fees and expenses called out.

Spend controls staff cannot skip

Vendor name, contact and payment method are mandatory on every expense. Expenses above your threshold need management approval, and duplicate or round-number patterns are flagged automatically.

Alerts that reach a person

Absent students, overdue fees, unfollowed leads, missed KPIs and sales shortfalls raise alerts to the responsible role, with management copied. Deduplicated, so the same issue is not reported hourly.

Mobile

An app your staff install from a link.

Installable on Android and iPhone straight from the browser, no app store review and no separate login. It is the same system, sized for a phone.

  • QR attendance, both directions. Students scan a class code that rotates every 30 seconds, or the teacher scans student codes.
  • Optional campus geofence. Marking can be limited to a radius you set. It raises the effort required and records the distance for a later dispute, and we do not claim it is proof of presence.
  • Clock in and out for staff. Worked hours roll up monthly and can feed the payroll calculation.
  • Student, parent and teacher screens. Progress, schedule, fees, announcements, feedback and certificates.
  • Push notifications for announcements and management alerts.
